At Zwaya Jobs, protecting your privacy is an essential part of building a trusted professional community.

Employers and recruiters may act as separate controllers when they receive, download, evaluate, retain, or otherwise process candidate information for their own recruitment activities.

Third-party payment providers may also act as independent controllers for certain payment, fraud prevention, and regulatory purposes.

Where another organisation independently controls personal information, its own privacy obligations and policies may apply.

3.8Technical and Usage Information

We do not use personal information for materially unrelated purposes without an appropriate lawful basis and any additional notice required by law.

6.Professional Profiles and Employer Access

Zwaya Jobs enables registered employers and recruiters to search for and discover suitable candidates.

By creating a searchable professional profile, users make the professional information included in that profile available to registered employer accounts through the platform’s candidate search and recruitment features.

Depending on the information provided and the features available, searchable information may include:

  • Name and professional title.
  • Skills and qualifications.
  • Employment history and experience.
  • Education and certifications.
  • Preferred employment location.
  • CV and professional portfolio.
  • Other information included in the candidate’s searchable profile.

Registered employer access is not the same as unrestricted public access. Zwaya Jobs intends professional search functionality for authorised employer accounts, subject to applicable access controls.

Users should understand that information made available to employers may be viewed, recorded, or downloaded where the platform permits such activity.

Information downloaded or otherwise lawfully obtained by an employer may remain in that employer’s recruitment records, even if the user later changes their Zwaya Jobs profile or deletes their account.

Users should include only information relevant to their professional objectives and avoid unnecessary sensitive personal details.

Any profile visibility or access restrictions offered in the Platform interface apply to the relevant candidate-search features.

7.Job Applications and Employer Responsibilities

When a user applies for a job through Zwaya Jobs, the information submitted as part of that application may be shared with the employer or recruiter responsible for the vacancy.

This may include the applicant’s CV, contact details, qualifications, employment history, supporting documents, and application responses.

Once an employer independently receives and processes application information, the employer is responsible for complying with applicable privacy, confidentiality, and recruitment requirements.

Employers must use candidate information for legitimate recruitment-related purposes and must not misuse, unlawfully disclose, or sell applicant information.

Zwaya Jobs may establish contractual rules governing employers’ use of candidate information and may restrict accounts that violate applicable platform policies.

However, Zwaya Jobs does not control every independent action taken by an employer after candidate information has been lawfully disclosed.

Users should review relevant employer information and exercise appropriate judgment when sharing additional documents outside the platform.

8.When We Share Personal Information

We share personal information only where reasonably necessary for legitimate platform purposes or where otherwise permitted or required by law.

Recipients may include:

Registered Employers and Recruiters:
To facilitate candidate searches, job applications, recruitment, and hiring communications.
Other Platform Users:
Where information is intentionally disclosed through professional connections, freelance opportunities, or platform communications.
Technology Providers:
Hosting, infrastructure, security, maintenance, communications, analytics, and other service providers supporting our operations.
Payment Service Providers:
To process payments, subscriptions, refunds, fraud checks, and related financial transactions.
Training Providers:
Where necessary to administer courses or learning services offered through the platform.
Professional Advisers:
Legal, accounting, auditing, and compliance advisers subject to applicable confidentiality requirements.
Competent Authorities:
Where disclosure is required by law, valid legal process, or enforceable official request.
Business Successors:
Where relevant to a lawful merger, acquisition, restructuring, or transfer of business operations.

We do not sell users’ personal information to third parties for their independent marketing or data-brokerage activities.

Where third parties process information on our behalf, we seek appropriate contractual, confidentiality, and security protections.

9.Payments and Third-Party Providers

Zwaya Jobs may charge fees for certain services, subscriptions, listings, recruitment features, training, or other paid offerings.

Payment transactions are processed through independent third-party payment providers.

When making a payment, users may be directed to a provider’s payment environment or interact with payment functionality integrated into the Zwaya Jobs platform.

Payment providers may collect and process information necessary to authorise transactions, prevent fraud, comply with financial regulations, and complete payments.

Their handling of personal information is governed by applicable law and their own privacy notices.

Zwaya Jobs may receive transaction confirmations, payment references, billing information, and payment status without receiving complete card credentials.

We recommend that users review the applicable payment provider’s privacy information before completing a transaction.

10.Data Retention and Account Deletion

We retain personal information only for as long as reasonably necessary to provide our services, maintain legitimate business records, meet applicable legal obligations, and resolve disputes.

Our retention decisions take into account:

  • Whether an account remains active.
  • Whether professional information is required for ongoing recruitment or other services.
  • The user’s deletion or privacy requests.
  • Applicable accounting, tax, and financial recordkeeping requirements.
  • Fraud prevention, security, and dispute resolution needs.
  • Relevant contractual or legal obligations.

When a user requests account deletion, we will assess and process the request in accordance with applicable law and our documented retention procedures.

Information no longer required will be deleted, anonymised, or otherwise securely disposed of.

Certain records may be retained where justified by legal obligations, legitimate claims, or security requirements.

Deleting a Zwaya Jobs account does not automatically delete information previously downloaded or independently retained by an employer or another lawful recipient.

Our published retention schedule must reflect actual operational periods or sufficiently clear retention criteria for each relevant category of information.

11.Cookies and Tracking Technologies

Zwaya Jobs may use cookies and similar technologies to operate its website, maintain account sessions, remember user preferences, measure performance, and improve functionality.

These technologies may include:

Essential Cookies:
Required for core functionality, authentication, and security.
Preference Cookies:
Used to remember settings such as language and user preferences.
Analytics Cookies:
Used to understand website usage and improve services.
Marketing Cookies:
Used for advertising or campaign measurement where such technologies are implemented.

Where applicable law requires consent for non-essential cookies or tracking, we will obtain the necessary consent before activating those technologies.

Users may manage available cookie preferences or change browser settings. Disabling essential functionality may affect the operation of certain platform features.

Information about the cookies in use, their providers and retention periods may be provided through a cookie notice or available preference controls.

12.Data Security

Zwaya Jobs is committed to maintaining reasonable technical and organisational measures designed to protect personal information against unauthorised access, alteration, disclosure, destruction, and misuse.

Our security arrangements are designed to reflect the sensitivity of the information, the nature of the processing and the associated risks.

Relevant safeguards may include access management, authentication controls, secure transmission, system monitoring, confidentiality obligations, and security incident procedures, according to the measures actually implemented.

We limit access to personal information to authorised persons and service providers with a legitimate operational need, subject to the controls in place.

Users are responsible for protecting their account credentials and should notify us promptly if they suspect unauthorised access.

No digital service can guarantee complete protection against every security risk.

Where a security incident creates notification obligations under applicable law, we will take the necessary steps to notify affected parties and competent authorities.

13.International Processing and Transfers

Although Zwaya Jobs is operated by an Iraqi-registered company, our platform is designed to support employment and professional connections within Iraq and internationally.

Personal information may therefore be accessed or processed in different countries, depending on our technology providers, business arrangements, and the location of employers or other users.

Where international data transfers are regulated, we will comply with applicable requirements and implement appropriate safeguards.

For transfers subject to the EU General Data Protection Regulation, these may include an applicable adequacy decision, standard contractual clauses, or another lawful transfer mechanism.

Where required, additional information about transfer destinations and safeguards will be made available to affected individuals.

14.Automated Matching and Recommendations

Zwaya Jobs may use search, filtering, and recommendation technologies to help users discover relevant jobs, professional profiles, candidates, freelance projects, and learning opportunities.

Where implemented, these features may consider professional qualifications, skills, experience, location preferences, and other relevant information supplied by users.

The platform may also develop more advanced matching or AI-assisted functionality.

We will provide additional information where legally required about profiling, automated processing, and any decisions producing legal or similarly significant effects.

The use of automated tools does not automatically mean that all recruitment decisions are made by Zwaya Jobs. Employers may independently determine their own hiring criteria and decisions.

Before introducing automated decisions with legal or similarly significant effects, Zwaya Jobs will assess and apply any safeguards required by law.

15.Your Privacy Rights and Choices

Depending on the laws applicable to your information, you may have rights to:

We will respond within applicable legal time limits and explain any lawful limitations affecting a request.

The availability and scope of these rights depend on applicable law and the circumstances of the processing.

16.Sensitive Information and Children’s Privacy

Zwaya Jobs does not generally require sensitive personal information, such as medical details, religious beliefs, political opinions, or biometric information, for ordinary job searches and professional profiles.

Users should avoid including unnecessary sensitive information in CVs, public profiles, or applications.

Where processing of sensitive information is genuinely necessary, we will apply appropriate safeguards and any additional lawful conditions required.

Zwaya Jobs is intended for individuals who meet the minimum age requirements established in its Terms & Conditions and applicable law.

Where services are lawfully available to minors, appropriate additional protections will be applied.

If we discover that personal information has been collected from a child in violation of applicable requirements, we will take appropriate corrective action.

17.Third-Party Services and Marketing

Our platform may contain links to employer websites, recruitment systems, payment providers, training services, or other independent websites.

These third parties may maintain their own privacy policies and processing practices. Users should review those policies before submitting personal information directly to third-party services.

Zwaya Jobs is not responsible for independent third-party processing except where responsibility arises under applicable law.

We may send information about services, job opportunities, professional resources, or platform updates where permitted by law.

Users may opt out of non-essential promotional communications using available unsubscribe mechanisms or by contacting us. Essential account, security, and transactional communications may continue where necessary.

18.Changes to This Privacy Policy

We may revise this Privacy Policy to reflect changes in our services, technology, business operations, or applicable legal requirements.

The updated version will be published on the Zwaya Jobs website with its effective or revision date.

Where changes materially affect users’ personal information, we will provide additional notice or obtain consent when required by applicable law.
